Make It Mariko is an award-winning creative events agency based in San Francisco, proudly led by women of color. We curate magical, meaningful experiences designed to inspire, uplift, and connect communities.

Our company was founded in 2015 by veteran Event Producer and former Google X Head of Marketing Events, Gina Mariko Rosales.

About the Role

Overview:

This role provides direct support to the CEO and Director of Operations, with a primary focus on administrative execution across key business areas: Executive & Business Operations, Inventory & Office Management, Sales & Client Support, and Team Administration. It is a task-oriented position that plays a critical role in the day-to-day functioning of the business. The role requires morning availability Monday–Friday from approximately 9:00–11:00 AM, with flexible scheduling for remaining hours but still to take place during regular business hours (9am – 6pm). On-site presence at our SF office (447 Minna St) is expected at least 2x per week on Tuesdays and Thursdays, but potentially more depending on need.

Key Responsibilities:

Executive & Business Operations (50% or 10 hours per week)
  • Executive Assistant for the CEO
    • General administrative support.
    • Inbox management daily
    • Calendar scheduling.
    • Collect receipts & manage CEO’s expense reports.
    • Manage CEO’s contact list.
    • Booking travel as needed.
  • Finance Admin
    • Invoice tracking & bill payment
      • Collect and organize bills to be input and paid by Dir of Ops/Finance team.
      • Communicate with Project Managers and vendors to ensure correct financial documentation and alignment with internal bill processing policies. 
    • Categorize business expenses and work with accounting team to produce accurate reporting.
  • Internal database maintenance
    • Maintain clean and organized files and data across business platforms, in: ClickUp, Dubsado, and Google Drive.
  • General Administrative support as needed.
SALES & CLIENT ADMINISTRATIVE SUPPORT (25% or 5 hours per week)
  • Oversee overall events calendar for new and potential clients 
  • Oversee sales process to ensure tasks are executed in a timely manner
    • Response within 48 hours
    • Schedule follow up correspondence
    • Schedule consultations
    • Take notes and/or interpret notes and delegate sales tasks to appropriate team members
    • Create all new internal client folders and files
INVENTORY & OFFICE MANAGEMENT (10% or 2 HOURS PER WEEK)
  • Inventory management
    • Manage and update inventory management system and organize all inventory.
    • Pre-event gathering of materials and setup.
    • Post-event clean up, restock, and returns.
    • Inventory point of contact for event managers.
  • General office management 
  • Office calendar management
TEAM MANAGEMENT ADMINISTRATION (15% OR 3 HOURS PER WEEK)
  • Team meeting scheduling & notes
  • Payroll project management
  • Contractor management
  • New team onboarding:
    • Scheduling
    • Paperwork collection
    • Ops systems access and delegation
  • Assistance with staff retreat and outings planning.

Hiring Timeline:

We’re Looking For Someone With Past Experience:

  • Working in an administrative role on a small team in a high paced environment, such as: startup, small business, or nonprofit.
  • Supporting a team member or team with inbox management, calendar coordination, travel booking, and expense reporting.
  • Owning or supporting internal operations (e.g., project status tracking, onboarding, systems maintenance, documentation hygiene).
  • Working with a diverse team and project managing across varying projects in a timely manner.
  • Working in a project management software and CRM to maintain clean file and data management, especially experience with: ClickUp, Dubsado, or FG Funnels.
  • Interfacing with the event production industry, familiarity with the rhythm of pre-/post-event logistics.
